350 Conference Flyers for NVIDIA: Paid at 23:44, Signed for at the Hilton London Metropole at 15:30 Next Day

The brief: conference flyers for a tech summit, due at a hotel by 17:00

The request came from NVIDIA’s workstation sales enablement team, first by phone and then in writing on Monday evening. It named two items, both full colour: the GB300 flyer for the Tech Summit EMEA, 350 copies printed on both sides, and a raffle sheet, 10 copies printed on one side. It named one deadline: delivered on Tuesday 29 September by 5 pm London time, to the Hilton London Metropole at 225 Edgware Road, W2, addressed to the Dell Technologies CSG Tech Summit. That is urgent conference printing in its plainest form — a fixed venue, a fixed hour and an audience that arrives whether the print does or not.

The Hilton London Metropole stands on the Paddington side of Edgware Road, and the client asked for a courier delivery straight to the hotel. What follows is the record of how the flyers for that delivery were specified, printed and signed for.

US Letter artwork, printed in London at its own size

Both items — the GB300 flyers and the raffle sheets — were invoiced at a finished size of 279 × 216 mm, which is US Letter (11 × 8.5 inches, exactly 279.4 × 215.9 mm) rounded to the millimetre, not A4. The difference looks small on paper and is not: A4 is 297 × 210 mm, about 18 mm longer and 6 mm narrower than US Letter. Without adapting the layout, artwork built for one size and printed on the other either gets stretched, gets white margins, or loses the edge of the design. On this job the flyers were quoted one per SRA3 sheet, trimmed to 279 × 216 mm, so the artwork came out at the size it was designed for.

We print US Letter, 11 × 8.5 inches, as a finished size in its own right. It is a size we are asked for by companies whose templates come from the US, as NVIDIA’s did here. If your artwork is Letter, say so in the brief so the size is confirmed in the quote.

Artwork that arrived as two Canva links

The artwork for both items arrived at 23:42 as two Canva share links, sent in the same email that followed up on the quote. On this job the design came from a team in another time zone, shared as a link rather than a file. Wednesday on the quote, Tuesday in the diary

The quote went out on Monday evening showing Wednesday 30 September. At 23:30 the client repeated the deadline from the enquiry — Tuesday 29 September — and asked us to confirm that both items were quoted in full colour. The quote was accepted at 23:42 and paid at 23:44, and the flyers were delivered on the Tuesday. From enquiry to signature: the timeline

Every time below is London time (BST), taken from our mailbox and from the courier’s proof of delivery. The client was writing from a US time zone, so the same messages carry different hours in their copy of the thread.

From payment to signature took 15 hours 46 minutes; from the first written enquiry to signature, 17 hours 13 minutes. Two moments in that table are worth keeping apart, because they are the ones people confuse. Printed is when the job leaves the press; delivered is when someone at the venue signs for it. For an event it is the second time that has to beat the deadline, and the gap between the two covers trimming, packing and the courier leg.

Delivering print to a conference hotel

The flyers went out by London courier straight to the hotel. The box was labelled with the hotel, the street address, the name of the event and who it was for, and it was signed for at the Hilton London Metropole at 15:30; the photo shows it on the hotel’s reception desk. What to tell us when conference print is due tomorrow

• The finished size, in millimetres. US Letter and A4 are different sheets. State the size the artwork was built for, so it can be confirmed in the quote.
• How many sides print, per item. On this job the 350 flyers printed both sides and the 10 raffle sheets one side. Put it on every line of the brief.
• The venue, the event name and the deadline in London time. A hotel address alone is not enough when the building hosts several events; the event name goes on the label.
• The artwork, or at least where it lives. A Canva link is a start. A print-ready PDF at the finished size is what keeps the job moving at 11 pm.
• Everything else due at the same event. Flyers, raffle sheets, badges and signage usually share one deadline, so quote them together.
