What size is a conference badge, and where does the hole go?

Four badge formats to scale with the lanyard hole at the top Four rectangles at the same scale: 90 by 60 mm landscape, CR80 86 by 54, A7 74 by 105, A6 105 by 148. Each has a small punched hole at the top centre, the default position for a lanyard clip. FOUR BADGE FORMATS, TO SCALE · HOLE AT THE TOP BY DEFAULT 90 × 60 mmconference86 × 54 mmCR8074 × 105 mmA7105 × 148 mmA6 bleed 3 mm · text 5 mm inside the cut · 300 dpi · 350 or 400 gsm card, hole-punched; the hole position is confirmed against your clip or lanyard before printing
The usual conference badge is 90 × 60 mm landscape — the Imperial College run of 114 badges started at A7 and finished at 90 × 60, and the hole position mattered as much as the size. CR80 (86 × 54 mm) is credit-card size and drops into a clear sleeve; A7 (74 × 105) and A6 (105 × 148) are the lanyard-pouch inserts. Every template has 3 mm bleed, a 5 mm safe margin for text and a hole zone marked at the top centre as the default; tell us which clip or lanyard you use and we confirm the hole before printing.

Which badge template do I need?

One template per format, at 1:1 in millimetres, with the bleed, the cut line, the safe zone and the default hole zone marked. Build the artwork over the whole sheet and send the PDF; names and roles can be merged from your spreadsheet in one run.

Bleed 3 mm, text 5 mm inside

Crop marks offset by 3 mm. Anything running off the badge extends past the trim; type stays 5 mm inside it, because trimming moves by a fraction of a millimetre across a run.

Keep the hole zone clear

The hatched strip at the top centre is where a lanyard clip is punched by default. Nothing you need to read goes there. Tell us the clip or lanyard and we confirm the exact position before printing.

Name large, role smaller

General advice: the name is read from a metre away across a room, so it is the biggest thing on the badge; role and company sit underneath, smaller. Data merges from your spreadsheet.

300 dpi at the finished size

Measured on the printed badge, not in the file. A 72 dpi web logo scaled up stays 72 dpi; send the vector logo instead.

CMYK, PDF, fonts outlined or embedded

Set the document to CMYK; send Pantone references for brand colours. Export a PDF with fonts outlined (safest on urgent work) or fully embedded, images embedded. Delete the template guide shapes before export.

A 90 by 60 mm badge on a lanyard Illustration, not a photograph: a landscape badge hanging from a lanyard clip, name placeholder large, role smaller. FIRST NAME Role · Company Illustration — 90 × 60 mm, punched for a lanyard clip. Printed ones: see the case studies below.

Artwork specifications

Bleed, safe margins, colour, resolution, file format

Headshots crop small but print smaller — confirm the photo resolution first.

Artwork requirements for ID badges and name tags.
RequirementWhat we needWhy
Bleed3 mm on every edgeWith crop marks offset by 3 mm. Anything running off the page has to extend past the trim, or a white hairline appears along the cut edge.
Safe marginText 5 mm clear of the trimTrimming moves by a fraction of a millimetre across a run. Type sitting on the trim line will look uneven from copy to copy.
Colour modeCMYK, not RGBBright RGB blues and greens sit outside the CMYK gamut and print duller than they look on screen. Send Pantone references for brand colours.
Resolution at final size300 dpi at the finished sizeMeasured on the printed piece, not in the file. A 72 dpi web image scaled up stays 72 dpi.
File formatPDF preferred — but send what you haveWe accept virtually any artwork format and check every file in-house before production. If anything needs adjusting we will tell you immediately, before we print.
FontsOutlined, or fully embeddedOutlined is safer on urgent work: there is no substitution risk at 3am when nobody is at a desk to answer.
ImagesEmbedded in the PDFPDF/X-4 embeds everything by default. Linked images that did not travel with the file are a common cause of a job stalling.
TransparencySupported — no need to flattenPDF/X-4 carries live transparency. Flattening by hand often causes the white boxes and colour shifts it was meant to avoid.
Delegate namesSupply the list as a spreadsheetOne row per badge. Include any barcode or QR data as its own column and we generate the codes from it.

Before you upload

  • Export as PDF/X-4
  • Convert fonts to outlines
  • Extend backgrounds into the bleed
  • Keep important content inside the safe margin
  • Supply images at 300 dpi at the finished size
  • Check the page size matches the finished trim size

Send the file even where there is doubt about it. We check bleed, resolution, embedded fonts and page size before anything goes on press, and where a fix is small it is usually just done. A two-minute reply at 9pm is faster than a re-export at 7am.

What turns a same-day job into a next-day one is almost never the printing. It is a question that has to go back to you and sit unanswered — artwork built at the wrong finished size, a logo supplied at screen resolution, or type running off the trim with no bleed behind it. Getting the six points above right removes nearly every one of those.

Variable data, laminating and lanyard holes

Ensure your event runs smoothly with our Urgent Conference Badge printing service. We produce personalised delegate name badges, VIP passes, and staff ID cards for London summits and exhibitions. We can print on standard card (for inserting into plastic wallets) or encapsulate (laminate) the badges for durability and punch a hole for a lanyard.

We can handle complex data merges, including printing unique QR codes or barcodes on each badge for check-in systems. Servicing venues like the QEII Centre and Olympia, we offer a rapid turnaround for last-minute attendee registrations — and for corporate floors in Canary Wharf, where the badge run is usually a data merge from a delegate list that changed overnight.

Delegate packs, agendas and name badges for conferences at the QEII Centre are a standing job for Victoria offices.

Badges are one part of an event order: printing for events and conferences in London covers planning badges, banners, backdrops, tablecloths and place cards for an event.

Q&A

Can you print data from an Excel list?

Yes. We specialize in variable data printing. Send us your delegate list, and we will generate individual badges for everyone.

Do you sell lanyards?

We stock standard lanyards and plastic card holders. We can include these with your order for a complete event solution.

Can you laminate the badges?

Yes. Encapsulation (heavy pouch lamination) is popular for multi-day events as it makes the badge waterproof and tear-proof.

Can you print QR codes?

Yes. If your Excel list contains the QR code data or links, we can generate a scannable code on each badge.
